Frequently Asked Questions
How the estimate is built, and what the numbers on your dashboard actually mean.
What is break-even occupancy?
It is the share of your open device-hours that has to be paid for before the cafe stops losing money. If every device were rented for every open hour you would earn your maximum possible gaming revenue; break-even occupancy is the percentage of that maximum needed to cover your monthly costs, after any additional income is subtracted. A break-even of 40% on a 14-hour day means each device needs roughly 5.6 paid hours a day. Anything above your actual occupancy is profit; a figure above 100% means the current rates and hardware cannot cover the costs even when fully booked. You will find it, alongside conservative and optimistic demand scenarios, in the PDF statement you can export from your results.
What is considered a realistic occupancy rate?
Most profitable gaming cafes run at 35% to 60% average daily occupancy. If your cafe is open 14 hours a day, an average device usage of 5 to 7 hours a day is typical for an established venue.
What should I enter as occupied hours?
The average number of hours one device is actually used for paid gaming per day, not the hours the cafe is open. If a PC is available for 14 hours but customers use it for 6 on an average day, enter 6.
Why include equipment EMI or depreciation?
Gaming PCs, GPUs and consoles lose value and need replacing every 2–4 years. Add it under “Other expenses” as your hardware cost divided by the months you expect it to last (e.g. ₹5,40,000 over 36 months = ₹15,000/month). Leaving it out makes the profit look better than it really is.
Are these numbers a guarantee?
No. The output is an illustrative estimate built entirely from the figures you enter. Real results move with footfall, seasonality, local competition, pricing changes and the accuracy of your own cost estimates.
Is this a billing software for gaming cafes?
No. This page is a planning tool, not a point-of-sale. It answers the question most owners are really asking before they shop for gaming cafe billing software: at these hourly rates and these costs, does the cafe make money, and how many paid hours a day does it need? Run the numbers here first, then pick the software that fits the model.
Does Console handle bookings and billing for my cafe?
Yes, for the slots sold through Console. Once your cafe is listed you get a free partner dashboard where you set your hourly pricing, add gaming stations and games, configure operating hours and manage every incoming booking. Payments made through the Console wallet are collected by us and settled to your cafe under the prevailing settlement policy, so online slot billing is handled end to end. Walk-in customers and any in-house POS you already run are unaffected.
What hourly rate should a gaming cafe bill?
Indian gaming cafes commonly bill ₹80–₹150 per hour for a PC or PlayStation station, with premium sim-racing and VR setups going higher, and discounted multi-hour or membership packs for regulars. Enter your own rates above and the calculator shows immediately what each rate does to your break-even occupancy.
Is my data stored anywhere?
The calculation runs entirely in your browser. Nothing is submitted until you choose to share your details with us.
How can Console help grow my cafe?
Listing your cafe on Console connects you with active local gamers, enables instant online slot bookings, and unlocks tournament and sponsorship opportunities, which is exactly the demand that pushes your occupancy above break-even.
